Features
Free POS Software is a multi-user system. This feature allows for the creation of multiple user profiles with selectable roles. As an example, it is possible to create user profiles for cashiers, barmen, waiters, supervisors, stock controllers, administrators and so on.
Free POS Software allows for the creation of multiple stock categories. Good examples of stock categories are "beer", "wine", "soft drinks", "burgers", "breakfasts", "desserts" and "fees". Stock categories are colour coded to allow for easy location on the POS screen. A printer can be selected on which an order for any items in that category will be printed. As an example, a customer's order for any items in the "beer" category will be printed on the printer located at the bar.
Free POS Software allows for the creation of multiple inventories. Inventories can be marked as "retail" for the sale of merchandise where no order printing is required. Multiple user profiles and multiple stock categories can be linked to an inventory. Inventories can be chained together to form a virtual inventory or be cloned or merged into a single inventory. Inventories can be imported and exported to allow for manipulation by other programs, including Microsoft Excel.
Free POS Software supports multiple prices per item. Any item in an inventory can have up to five prices. The stock level of each item is tracked by the system allowing for accurate stock control. Items can be declared as fractional items and can then be sold as a whole or in smaller parts. This is very useful for items such as alcoholic beverages, which is sold in bottles or tots. Items can be grouped together to form a new item. As an example, alcoholic shooters are made from various liqueurs.
Free POS Software allows for the creation of customer accounts. This is a very powerful feature. In addition to enabling credit transactions, it also enables the use of house cards, loyalty cards, discount cards, cash or prepaid cards and club cards.
Cards have a validity period and can be linked to a user profile and / or a customer account. Cards can be linked to certain stock categories or stock items. Cards can be either a parent or a sibling card. These features combined defines the card's purpose. As an example, it is possible to create a card that has a prepaid spending limit of R100 and can only be used to buy soft drinks. It is also possible to create a card that allows access to the Free POS Software system and only with permission to act as a cashier. Another example is a card that allows discount prices. A card that only allows a stock item like "coke" to be bought on credit, is another possibility.
At point of sale, any item's price can be rounded off to the nearest selected value. As an example, if an item rounding value of 50 cents is selected, all item's prices will be adjusted to the nearest 50 cents. The total rounding feature can be applied to the total sales amount. This streamlines the sales process and reduces the need to keep large quantities of small change.
Free POS Software supports tabs, allowing customers to pay their bill in one large amount. This is a very useful feature for restaurants. Tabs can be run by room, table or patron number.
Many reports can be printed directly to the receipt printer. In a networked environment this can be done from any sales point. These reports include setup reports, sales reports, stock reports, account reports, shortfall reports and many more.
Free POS Software makes a backup copy of the data by the press of a button. To restore the data from a previous backup is just as easily accomplished.
